How This Estimate Works
- Blended hourly cost = the average of your sales operations, sales executive and admin hourly costs, weighted by how many people you enter in each group.
- Your current CRM situation sets the improvement we assume. With no CRM, lead conversion rises 29%, retention rises 15% and data-entry hours fall 40%. With a basic CRM the figures are 20%, 10% and 30%. With an outdated CRM they are 25%, 12% and 35%. With a CRM you are tuning, they are 10%, 5% and 20%. These are relative changes: a 20% conversion rate becomes about 26% with no CRM.
- Additional revenue = monthly new leads × the extra share of leads that convert × average revenue per customer × 12 months.
- Labor savings = weekly data-entry hours saved × blended hourly cost × 52 weeks.
- Retention impact = customers kept through better retention × average revenue per customer. Retention after the improvement is capped at 95%.
- Total annual impact adds the three together. Revenue is not profit, so read the labor savings as a cost reduction and the other two as growth.
- Payback assumes a CRM cost of $50 per person per month for the staff you list. It equals three months of that cost divided by your estimated monthly benefit, rounded up and shown between 1 and 6 months. The payback on this page leaves out implementation and integration costs. The emailed report adds a typical implementation cost, so its payback can be longer.
- A box left blank uses a typical value. Your analysis replaces these assumptions with your own data, the platform you choose and quoted implementation pricing.
Common Questions About CRM ROI
It is a planning estimate, not a forecast. It applies a fixed improvement, based on the CRM situation you pick, to the numbers you enter. Your real results depend on the platform, how well it is set up and whether your team uses it every day.
Leave it as it is. Each box starts with a typical value and the estimate uses it. Come back and adjust it when you have the real figure, and the result updates.
It adds three parts. They are extra revenue from converting more leads, revenue from keeping more customers and the value of staff time recovered from less data entry. Revenue is not profit, so read the labor savings as a cost reduction and the other two as growth.
Only in the payback figure, which assumes $50 per person per month for the staff you list. The payback on this page leaves out implementation and integration costs. The emailed report adds a typical implementation cost, and your quote lists the real costs.
Yes. Read customers as clients, members, donors or patients, and revenue as what each one brings in, such as a gift, a grant, a membership or billable visits. If the revenue boxes do not fit, focus on the labor savings and retention figures.
