Method
How This Estimate Works
- We start with what you pay today: your monthly bill divided by your number of users.
- The features you select set the lowest plan that fits. Call recording or analytics, for example, point to Better.
- We then pick the plan that best meets your feature requirements, even when it costs more than you pay today, and we show you the difference.
- Estimated monthly cost = number of users × the plan's price per user per month.
- Savings compare that estimate with the monthly bill you enter, across all locations. Three-year savings are the monthly savings over 36 months. Together they estimate your return on investment from switching. They are not a quote.
- Taxes, regulatory fees, number porting and hardware are not included, and neither is any early-termination charge on your current contract.
- Plan prices are planning figures. Your actual price depends on the provider, your contract term and your number of users, and it comes in your quote.
- Your analysis replaces these assumptions with quoted pricing and negotiated terms.
Quick Answers Before You Calculate
It depends on what you pay now, how many users you have and which features you need. The calculator gives you an estimate in about a minute. Across our projects, clients saved about 45% on average, and Metro Community Health Centers' phone bill came down 75%, from $8,099 to $2,024 a month for 110 staff across 5 sites. Your own result may be higher or lower, and a quote turns the estimate into a real price.
No. It is an estimate based on the numbers you enter and the features you select. A quote comes after we review your current contract, setup and requirements, and it lists taxes, fees, number porting and any hardware.
Not always. Some of your current desk phones may work with a new service, and some will need replacing. Mobile and computer apps can cover people who do not sit at a desk. We check your equipment and tell you what to keep and what to replace, so you only pay for hardware you need.
That depends on what switching costs and what you save each month. The calculator shows your monthly and three-year savings, the two numbers behind your return on investment. One-time costs such as hardware, number porting and any early-termination charge on your current contract come out of the first months of savings, and your quote lists each one.
Usually, yes. A phone call needs very little bandwidth. A steady connection matters more, because calls drop when the internet does. Before we recommend anything, we review the internet service at each of your sites, and our Network Bandwidth calculator shows how much speed your phones, video calls and other applications need together.
Then we will say so. If keeping your system, or renegotiating the contract you have, is the right call, we tell you, even when it costs us the sale. For Metro Community Health Centers we recommended paying $250 a month more for internet, to end the outages that cut off health records and blocked telehealth.
It depends on how many sites you have, what your current contract requires and how long it takes to move your phone numbers. We plan the cutover with you around your busiest hours and manage it from the first call to the day the new phones are working. For a clinic or office that cannot miss calls, we plan the move so your numbers and your hours stay covered.
They are three levels of business phone service. Good covers everyday calling, voicemail to email, an auto attendant, a mobile app and conference calling. Better adds call recording, reporting and CRM integration. Best adds higher toll-free and text volume, webinars and unlimited storage. The calculator starts from the features you select, then picks the plan that fits them. If that plan costs more than you pay today, you'll see the difference, and we can check whether a lower plan would cover what you need.
No. The price per user is an estimate for planning. Your quote sets the real price, and it depends on the provider, the plan, your number of users and your contract term. Taxes, regulatory fees, number porting and hardware are quoted separately. If the quote differs from the estimate, we show you the difference before you sign.

Yes. Enter the total users and the combined monthly phone bill for all your sites. We focus on healthcare and nonprofit organizations, such as health centers and behavioral health providers, and we work with organizations of every size. In the consultation we look at each site's contract, renewal date and what it needs during clinic or program hours.
First, we understand your requirements and review your last phone invoice, your contract and renewal date, and what each site needs. Second, we compare vetted options side by side and explain the trade-offs in plain language. Third, if you decide to switch, we manage the cutover. After you sign, we stay by your side advocating for your business. We track your renewal date and chase any service problem for you.
